What is Jarvis?

A workplace pension provider for umbrella companies, recruitment agencies, and payroll bureaux. We handle auto-enrolment, contributions, and member management through a simple online portal.

How are you different from NEST?

Jarvis integrates with payroll software via API, processes contributions faster, and gives employers and members a modern experience. Dedicated support, no call centre queues.

Is Jarvis regulated?

Yes. Pension Jar Limited operates as an appointed representative of P1 Investment Services. Assets held by Seccl (FCA-regulated). PSR: 12019064.

How much does Jarvis cost?

See our pricing page or ask your account manager. There are no hidden fees.


Setting up your scheme

How do I get my scheme live?

  1. Check scheme details and contribution rates.

  2. Enrol employees.

  3. Submit contributions.

  4. Pay.

Most employers finish in under 30 minutes.

What do I need before I start?

Your company details (name, address, PAYE reference), employee data (names, DOBs, NI numbers, emails, addresses), and access to your payroll software. Have these ready before logging in.

What contribution rates do I set?

Minimum 8% of qualifying earnings: at least 3% employer, 5% employee. You can set higher.

What’s my PSR number?

12019064. You’ll need it for your declaration of compliance.

What’s a declaration of compliance?

A legal submission to The Pensions Regulator confirming you’ve met your auto-enrolment duties. Due within 5 months of your duties start date.

Can I delay auto-enrolment?

Up to 3 months for new joiners, provided you issue a postponement notice to the employee.


Enrolling employees

Who do I need to enrol?

Anyone aged 22 to State Pension age earning over £10,000/year. Others may opt in.

How do I enrol people?

  • File upload (CSV or PAPDIS) — best for 5+ employees.

  • Manual entry — one at a time.

What information do I need per employee?

Full name, date of birth (DD/MM/YYYY), NI number, email, home address, start date.

What happens after I enrol someone?

They receive a Jarvis welcome notification. They have one month to opt out. During this window, contributions are withheld from pay but held temporarily, not invested. If they opt out in time, you process the refund via payroll. If they don’t opt out, contributions are invested after the window closes.

What is re-enrolment?

Every 3 years, re-assess opted-out employees. Enrol those still eligible. Jarvis reminds you.


Contributions and payments

How do I submit contributions?

Upload your PAPDIS, NOW:Pensions, FreeAgent, NEST, Brightpay, or Access file in Submit Contributions after each payroll run. Jarvis validates, shows a summary, and you confirm.

What if my file has errors?

Jarvis tells you what’s wrong with each record. Fix the flagged records and re-upload. Most common issues: employee not enrolled, NI mismatch, wrong amounts, missing fields.

How do I pay?

After confirming a submission, Current Payments shows the total due and bank details. Transfer by direct debit or by bank transfer using the reference provided.

What’s the payment deadline?

The 22nd of the month after deduction. March payroll = pay by 22 April. Late payments risk fines from The Pensions Regulator.

What do the payment statuses mean?

• Awaiting Payment — waiting for your transfer.

• Processing — received, being matched (1–2 days).

• Complete — allocated to member pots.

• Failed — check details or contact support.


Employee requests

What are employee requests?

Actions from employees that may need a payroll update: opt-outs, contribution changes, or cessations.

How do I handle an opt-out?

Stop deductions from the next pay run. You’re responsible for processing the refund via payroll within one month, Jarvis does not handle refunds directly. If the employee opts out after the one-month window, no refund is possible, contributions stay invested until retirement or transfer.

What about leavers?

Stop contributions after their final pay. Their pot stays with Jarvis — nothing to close or transfer.


Payroll software

Which software integrates with Jarvis?

Finity, Octopaye, Kintec, Xero Payroll, and MoneySoft. Each has a dedicated setup guide.

How do I connect?

Add Jarvis as your pension provider, enter PSR 12019064 and your contribution rates, configure PAPDIS export. See the guide for your platform.

My software isn’t listed.
