Have these details ready for each employee.

  • Full name (title, first name, last name)

  • Date of birth — DD/MM/YYYY

  • National Insurance number

  • Email address

  • Home address and postcode

  • Employment start date

Common mistakes

  • Wrong date format — use DD/MM/YYYY, not YYYY-MM-DD.

  • Invalid NI number — check the format matches HMRC records.

  • Typo in email — the employee won’t receive their welcome notification.
